All positions can be split if there is a team of people that wishes to run for a position. Board members should plan to attend each monthly PTO meeting.
Board Members
President & Co-President/Vice President
- Leads the PTO and oversees all its activities and meetings.
- Sets meeting agendas and presides over meetings.
- Acts as the primary liaison between parents, school administration, and the PTO.
- Helps coordinate the work of all other officers and committees.
- Significant time commitment throughout the school year
Vice President of Fundraising
- Plans, organizes, and oversees all fundraising activities.
- Works closely with the treasurer to set goals and track fundraising progress.
- Leads fundraising committees and ensures successful events and campaigns - Direct Donation Drive in the fall, Harvest Fest Fundraiser (fall), shopping events (Maxima, Blue Ribbon, etc), Hardy Auction in the spring, etc
- Assists the President and steps in when needed.
- This position requires 3-4 hours per month, depending on the time of year.
Vice President of Communications
Enjoy spreading the word on the happenings of the PTO, Hardy events, and local information? Then this is the position for you! This position can be shared between more than one person.
- Manages communication between the PTO and families.
- Sends newsletters, updates, and reminders via email, social media, or flyers.
- Coordinates publicity for events and maintains the PTO’s digital presence (website, social media, etc.).
- Works to keep parents informed and engaged.
- It is encouraged to have a team/committee to assist with this role
- The time commitment is 2-3 hours a month.
Vice President of Diversity Inclusion Group
- Plans, organizes, and oversees all DIG events
- Ensures all events are reviewed using the DIG checklist
- Works with Arlington Human Rights Commission
Secretary
- Takes minutes for all PTO meetings and uploads them to the PTO website in a timely manner.
- Maintains PTO records, including bylaws, attendance, and correspondence.
- Helps manage documentation and assists with communication as needed.
- Occasionally assist with other board tasks (e.g., overseeing an event).
- This role takes 3-4 hours per month (including time spent at monthly PTO meetings, either in person or over Zoom).
Treasurer
- Manages all PTO finances: budgeting, deposits, purchasing, purchase approvals (Amazon), reimbursements, and reporting.
- Keeps accurate financial records and presents regular updates to the PTO.
- Prepares annual budgets and works with other officers on financial planning.
- Prepares workpaper for tax filing and ensures annual tax filing is filed (can solicit 3rd party assistance to file tax returns)
- Ensures compliance with school or district financial guidelines.
- Significant time commitment throughout the year (need to approve purchases and payments often, sometimes a few times a week)

- Enrichment
- Enrichment Coordinators - learn how enrichment workshops and field trips are booked so that they can support parents actually booking activities
- Enrichment Planners - work with teachers and coordinators to get workshops and field trips booked
- Assembly Planners - work with school admin to get assemblies booked
- Classroom Coordinator & Organizer
- Organizer - work with PTO Board to craft messages to go to classroom coordinators
- Coordinator - 1-2 caregivers volunteer per classroom to communicate PTO events, classroom gifts, classroom volunteer activities, suggested to go to monthly PTO meetings to stay educated on PTO items
- Safe Routes to School (SRTS)
- Work with Massachusetts SRTS representative about any bike or pedestrian issue, arrival/dismissal plan, SRTS events (walk to school days, lawn sign competition), bike and pedestrian safety classes, bike rodeo (fall)
- Work with Arlington Police Department and School Admin on bike or pedestrian issues, as needed
- Coordinate crossing guard appreciate day gifts
- Hardy Garden
- Maintain the Hardy Garden & planters in front of school
- Lead spring and fall cleanups
- Coordinate summer watering of garden
- Ideas: winter sowing, plant sales, plant pot decorating
- Hardy Green Team
- Lead green events: Pumpkin composting (fall), FUNDraiser (Savers) (spring), crayon recycling
- Annual application to the Massachusetts Green Team

- Hardy EATS Snacks
- Purchase and bag up bagged snacks to be kept at the Hardy front office
- Submit reimbursement to Hardy PTO Treasurer
- Teacher & Staff Appreciation Committee
- Coordinate monthly treat train - create sign-up genius, publicize, ensure train is set up and has a delivery person
- Coordinate 2 pizza meals for teachers and staff - curriculum night and parent/teacher conference night
- Coordinate 2 teacher & staff appreciation lunches (November & March)
- Coordinate teacher and staff week (early May)
- Spirit Wear
- Work with vendor to coordinate 2 spirit wear events per school year (fall and spring)
- Work with Hardy Spirit Wear Committee (teachers) to get input on items to offer
- Work with Hardy Admin to get list of items to order for low-income families
- Book Fair Committee
- Plan and execute the Hardy Book Fair (usually March)
- Work with vendor, school admin, and librarians
- Solicit volunteers
- Literacy Night Committee
- Plan and execute Literacy Night, typically during Book Fair week in March
- Coordinate special readers and volunteers
- STEAM Fest Committee (every other year)
- Plan and execute STEAM Fest - build a team of caregivers, get corporate donors/volunteers
- Multi-cultural Committee (every other year)
- Plan and execute STEAM Fest - build a team of caregivers, get corporate donors/volunteers
- Field Day Committee
- Plan and execute Field Day (typically late May/early June)
- Work with PE teachers, school admin, supported learning centers to plan inclusive day of fun
- Solicit volunteers to plan and and work day-of
- Buddy Families
- Coordinate with school admin if new families need a buddy family to help them feel welcome at Hardy
- Kindergarten Welcome Committee
- Work with school admin and Kindergarten teachers to coordinate school tours (June)
- Work with school admin to plan and communicate late summer play dates and ice pop welcome with Principal
- Work with Kindergarten teachers to select book for the Kindergarten book walk - a book that's laminated and posted along the Lake St fence before first day of school
- Picture Day Committee
- Work with photographer and school admin to coordinate picture day (fall)
- Ensure proper communication to caregivers about picture and retake days
- Hardy PTO Auction Committee
- Event planning - plan venue, theme, menu, logistics (winter/spring)
- Donor solicitation
- Teacher Raffle - communicate with teachers to solicit donation of experiences & communicate winners
- Website management

- Work with school admin to coordinate Hour of Code event for each classroom (winter)

- Keep up to date on volunteer opportunities and help with publicizing them - social media, emails, assist with Newsletter as needed, posters, etc.

- Assist Hardy front office admin with Hardy Lost and Found, including asking for volunteers to help

- Take photos and upload to google album to be emailed to caregivers
